Terms and Conditions for Vinci Hair Clinic Hair Transplants

Effective from date of May 2025

Article 1.0: Understanding and
Acknowledgement

1.1 Nature of the Procedure: The nature, risks, limitations, and permanent aspects of hair restoration surgery will be explained to the patient prior to treatment. The patient acknowledges that hair transplantation is a medical redistribution procedure and not a cure for hair loss.

1.2: Pre-Operative Instructions The patient will receive written pre-operative instructions and confirms that they have been read, understood, and will be followed.

1.3: Medical Disclosure The patient must complete a medical history form and has a continuing obligation to disclose all known medical conditions, medications, allergies, and relevant health information prior to treatment.

1.4: Consequences of Non-Disclosure Vinci Hair Clinic shall not be held liable for any outcome, complication, delay, or cancellation arising from incomplete, inaccurate, or late disclosure of medical information by the patient.

Where treatment is cancelled in the interest of patient safety due to non-disclosure, the non-refundable deposit will be retained.

1.5 Medication, Substance & Lifestyle Disclosure

The patient must inform the clinic of:



1.6: Photography & Documentation Clinical photographs will be taken pre- and post-procedure for medical documentation, audit, and quality control. Images may be used in accordance with UK GDPR. The patient may request anonymity.

1.7: Amendments Vinci Hair Clinic reserves the right to amend these Terms & Conditions, pricing structures, and promotional campaigns at any time. Updated terms supersede prior versions.

1.8: Discount Codes and Promotional Campaigns Vinci Hair Clinic reserves the right to introduce, amend, suspend, or withdraw any discount codes, promotional offers, or marketing campaigns at any time and without prior notice.

Once withdrawn, expired, or amended, any historical discount codes or promotional offers shall be deemed null and void and shall not apply retrospectively to existing or future bookings unless expressly confirmed in writing by the clinic.

Article 2.0: Treatment, results and
limitations

2.1: Aftercare Compliance and Mandatory Reviews Strict adherence to all post-operative and aftercare instructions provided by Vinci Hair Clinic is essential to the success and assessment of treatment outcomes.

The patient understands and agrees that compliance includes, but is not limited to:



In addition, to be considered fully compliant with aftercare instructions, the patient must attend scheduled follow-up reviews at approximately six (6) months and twelve (12) months post-procedure.

These reviews may be conducted:

Failure to attend or participate in these follow-up reviews, without reasonable justification communicated in advance, may result in the clinic being unable to properly assess progress or outcomes, and such failure will be treated as non-compliance with aftercare instructions.

Where non-compliance occurs, the clinic shall not be liable for outcomes that may have been affected as a result.

2.2: No Guarantee of Results

Treatment Outcomes and Expectations

The patient understands and accepts that hair restoration outcomes vary between individuals due to factors including, but not limited to, genetics, donor supply, scalp condition, healing response, lifestyle, compliance with aftercare instructions, and the natural progression of hair loss.

No specific cosmetic appearance, density, coverage, or aesthetic outcome is guaranteed. The patient acknowledges that payment is made for the professional expertise, skill, time, and experience of the clinical team, and not for a guaranteed or specific result.

Any timelines discussed during consultation are estimates only, and final results may take 12 months or longer to fully mature.

All photographs, images, videos, illustrations, and examples shown during consultation or in marketing materials are provided for illustrative and educational purposes only and do not constitute a promise, warranty, or guarantee of a particular outcome.

2.3: Future Hair Loss

Hair transplantation does not prevent future hair loss. The patient understands that the procedure redistributes existing hair follicles from the donor area to the recipient area and does not halt the natural progression of androgenetic or other forms of hair loss. >

The clinic is not responsible for progressive thinning or loss of hair occurring outside the transplanted areas, nor for the continued loss, miniaturisation, or shedding of the patient’s existing (non-transplanted) native hair within or surrounding the transplanted area. >

The patient further understands that existing hair present within the transplanted area at the time of surgery may continue to thin or be lost over time, and that this is independent of the survival or growth of transplanted grafts. >

Ongoing or future hair loss may affect the overall cosmetic appearance of the result and may require additional medical treatment or further surgical procedures, which are not included in the original treatment and would be subject to separate assessment and fees. >

2.4: Scarring & Side Effects

Some degree of scarring may occur. Temporary side effects may include swelling, redness, numbness, bleeding, or discomfort.

2.5: Surgeon Allocation

Vinci Hair Clinic cannot guarantee treatment by a specific surgeon. >

2.6: Additional or Corrective Procedures

Any additional procedures requested or required following the original treatment constitute a separate treatment plan and may incur additional costs. Vinci Hair Clinic will not be held liable for any associated costs connected with having aftercare or follow up treatment to deal with any possible complications, this includes travel, accommodation or economic costs to the client relating to time taken off work or loss of potential earnings. There is no automatic entitlement to free corrective surgery and Vinci Hair Clinic will not be liable to reimburse/refund in whole or in part against treatments that have already been completed/undertaken. >

Third-Party Treatments and Voidance of Responsibility

The clinic shall not be responsible for, nor liable for, treatment outcomes where results have been affected, altered, compromised, or influenced by any treatments, procedures, or interventions undertaken with third-party providers, whether before or after the Vinci Hair Clinic procedure.

This includes, but is not limited to:



Where any such third-party treatment is undertaken, any assessment, warranty, or goodwill consideration relating to the outcome of the Vinci Hair Clinic procedure shall be deemed void, and the clinic shall have no obligation to provide corrective treatment, revision, or refund.

The patient agrees to inform Vinci Hair Clinic of any third-party treatments undertaken or planned, and acknowledges that failure to do so may compromise results and release the clinic from responsibility.

Article 3.0: Payments

3.1: Fees & Validity

Treatment fees are quoted following consultation and are valid for 30 days unless otherwise stated.

3.2: Deposit

Deposit and Allocation of Clinical Resources

A £1,000 non-refundable deposit is required to secure a procedure date. By paying this deposit, the patient acknowledges and agrees that the fee is paid to reserve a specific surgical date and to allocate clinic resources exclusively for the patient, including but not limited to:



Once a procedure date is reserved, these resources cannot reasonably be reallocated at short notice without loss to the clinic.

The deposit is therefore non-refundable and will be retained in the event of cancellation, postponement, rescheduling, or failure to attend, except where cancellation is initiated by the clinic and no suitable alternative date can be offered within a reasonable timeframe.

Deposits are valid for three (3) months from the date of payment. Failure to schedule and attend a procedure within this period will result in the deposit being forfeited. >

3.3: Balance Payment

The remaining balance must be paid prior to commencement of treatment. Failure to clear payment may result in cancellation and loss of deposit.

3.4: Chargebacks & Failed Payments

Where a payment is reversed, charged back, or fails after acceptance, the patient remains liable for the outstanding amount. An administration fee of £75 may be charged where bank or processor costs are actually incurred.

3.5: Málaga Clinic – Accommodation and Transfers

Accommodation for up to two nights, as well as one way airport pick up on arrival are included as part of the Málaga clinic treatment package. These benefits relate exclusively to the accommodation and transfer arrangements selected and provided by the clinic. The patient has no right to request alternative accommodation, upgrades, substitutions, financial discounts, or reimbursement in connection with these services. If the patient elects not to use the included accommodation and/or airport pick up, no reduction, refund, credit, or compensation of any kind will be applied to the treatment cost. Should the patient elect to stay at an alternative hotel or make independent travel arrangements, the clinic bears no responsibility or financial liability for any associated costs. Flights are not included, and return transportation to the airport upon departure is the responsibility of the patient.

Article 4.0: Appointments, Cancellations & Fees

4.1: Allocation of Resources

By booking a procedure, the patient acknowledges that Vinci Hair Clinic reserves theatre time, clinicians, staff, consumables, and operational resources specifically for the patient, creating real costs if cancelled.

4.2: Patient Cancellation – Cancellation Charges

If the patient cancels, postpones, reschedules, or fails to attend, the clinic may retain the deposit and charge a cancellation fee as a reasonable estimate of actual loss, calculated as follows: Important:

These charges will not exceed the clinic’s actual loss and will be reduced where the clinic is able to fill the cancelled slot or otherwise mitigate its loss.

4.3: Cancellation on Medical Grounds

If a procedure is cancelled on the day on medical grounds, the clinic will advise of any measures the patient needs to take and will attempt to reschedule the procedure once. If the patient does not wish to reschedule and/or cannot reschedule for medical reasons, the deposit will be retained and cancellation charges may apply in accordance with Article 4.2.

4.4: Cancellation for Safety / Non-Disclosure / Intoxication

If treatment is cancelled due to intoxication, failure to disclose medical information, or failure to follow pre-operative instructions, the deposit will be retained and cancellation charges may apply as per Article 4.2.

4.5: Rescheduling

One reschedule may be permitted at the clinic’s discretion if requested more than 30 days before the procedure. procedure. Additional rescheduling requests made outside of 30 days will incur an administration fee of £150. Requests inside 30 days may be treated as a cancellation.

4.6: Third-Party Costs

The patient agrees to reimburse any reasonable, evidenced third-party costs incurred due to cancellation or breach (e.g. special-order medical supplies).

4.7: Travel & Loss of Earnings

The clinic is not liable for travel, accommodation, loss of earnings, or other indirect costs incurred by the patient.

4.8: Clinic Cancellation Due to Unforeseen Events

In the unlikely event that Vinci Hair Clinic is unable to perform the scheduled procedure due to circumstances beyond its reasonable control, including but not limited to illness or accident of the surgeon or key clinical staff, medical unfitness identified on the day, equipment failure, fire, flood, natural disaster, acts of God, government action, or other force majeure events, the clinic shall not be liable for any indirect or consequential losses incurred by the patient.

This includes, without limitation, travel costs, accommodation expenses, loss of earnings, or other associated costs. .

In such circumstances, the clinic will offer to reschedule the procedure at no additional charge within 60 days, subject to clinical availability. No further compensation shall be payable. .

Article 5.0: Results, review & Close-out

5.1: No Free Redo Entitlement

Dissatisfaction with density or aesthetic preference does not create an entitlement to free additional surgery.

5.1: No Free Redo Entitlement

Results may take 12 months to mature. A 12-month review is required. Cases are considered closed 12 months post-procedure.

Article 6.0: Complaints & Conduct

6.1: Complaints

Hair transplant results take time to develop and typically continue to mature for up to twelve (12) months or longer following the procedure.

Complaints relating to aesthetic outcome, density, growth, or appearance will not be considered valid until sufficient time has passed for results to mature, unless the complaint relates to an immediate clinical or safety issue.

Any complaint must be raised in writing within 30 days of the relevant issue arising, and the clinic will investigate and respond within a reasonable timeframe. Complaints raised prematurely, before results could reasonably be expected to manifest, may be deferred until appropriate clinical assessment is possible.

6.2: Defamatory Conduct

Nothing in these Terms prevents honest or fair reviews. However, the patient agrees not to publish or communicate statements that are knowingly false, misleading, or defamatory about the clinic, its clinicians, or staff. Vinci Hair Clinic reserves the right to take appropriate legal action where such conduct causes demonstrable harm.

Article 7.0: Governing Law

These Terms & Conditions are governed by the laws of England and Wales, and disputes are subject to the jurisdiction of the English courts.

1.4: Vinci Hair Clinic shall not be held liable for any damage occurring as a result of the patient´s failure to disclose such details

1.5: The patient will inform the clinic of all medications taken in the last 30 days.

1.6: The patient should avoid taking Aspirin or Ibuprofen from seven days prior to their procedure and must inform the clinic if they have done so.

1.7: The patient should avoid alcohol from seven days prior to their treatment and must inform the clinic if they have done so.

1.8: The patient should avoid the use of Minoxidil from seven days prior to their treatment and must inform the clinic if they have done so.

1.9: Pre and post op patient photos will be taken and are to be used at the clinic´s discretion and in accordance with its legal requirements for documenting all work done. The patient can request for his or her identity to be kept private.

1.10: Vinci Hair Clinic reserves the right to amend the terms and conditions at any time and without prior notice and all new amendments will override previous terms and conditions.

1.11: Vinci Hair Clinic reserves the right to amend our pricing structure at any time and without prior notice.

1.12: Vinci Hair Clinic reserves the right to withdraw discount codes or campaigns at any time, historical discount codes or campaigns will be null and void following withdrawal.

Article 2.0: Treatment

2.1.0: For best results, the patient must comply with our written and verbally given aftercare instructions, which may include medical treatments to halt further hair loss, attending suture removal and other post operative appointments.

2.1.1: The clinic is not liable for any damage that occurs accidentally to the hair follicles post-surgery. It is the responsibility of the patient to make sure both the donor area and the grafted area are managed according to the post-operative instructions.

2.1.2: Results can span 12-24 months. A 12 month in clinic appointment must be attended to accurately assess results.The clinic may request results are allowed to fully mature before assessing final results. Cases are considered closed 3 years post procedure.

2.1.3: Vinci Hair Clinic will not be held liable for any associated costs connected with having aftercare or follow up treatment to deal with any possible complications. This includes travel, accommodation or economic costs to the client relating to time taken off work or loss of potential earnings.

2.1.4: Vinci Hair Clinic will not be liable to reimburse/refund in whole or in part against treatments that have already been completed/undertaken.

2.2: The patient understands the limitations of hair restoration surgery and the expected outcome of treatment prior to commencement.

2.3: The patient understands that a hair transplant procedure merely transplants existing hair from the donor area to the recipient. This process does not have any control over the future, continued and progressive loss of existing hair on the scalp.

2.4: Hair transplantation is a medical redistribution procedure that moves your own natural hair from one area to another. It does not create any new hair, nor does it stop the balding process. The results of a hair transplant will depend on the ratio between the demand (balding area) and the supply, (size and density of the donor area), as well as on the patient’s natural healing ability.

2.5: When undertaking a Vinci hair transplant, you are paying for our expertise and experience in hair restoration, but not for a specific result. All photographic examples shown in the consultation and/or marketing material are for illustration purposes only and the patient fully understands that no guarantee can be given as to the exact outcome of this or any other medical procedure.

2.6:Vinci Hair Clinic cannot guarantee treatment with a specific surgeon.

2.7: It is not possible to implant hairs too closely together as some space has to be allowed for healing. The patient can always elect to have further hair transplant sessions to add more density to an area or to cover larger areas, providing the surgeon deems it appropriate for his or her case.

2.8: The patient understands that there may be discomfort associated with the treatment. Other side effects may include slight bleeding, redness, numbness and swelling.

2.9: The patient understands that hair restoration procedures may result in detectable scarring. The clinic will undertake the procedure with the aim of minimising any potential scarring in the case of both FUE and FUT hair transplant procedures.

2.10: The patient understands that over the long term, transplanted hair will mirror the behaviour of the hair in the donor region. This means that should the donor hair become thinner over your lifetime, so can the transplanted hairs.

2.11: Vinci Hair Clinic will not be held liable for any associated costs connected with having aftercare or follow up treatment to deal with any possible complications, this includes travel, accommodation or economic costs to the client relating to time taken off work or loss of potential earnings.

2.12: Vinci Hair Clinic can provide a guideline as to how long any given procedure will take to complete. Due to numerous variables, the procedure may be shorter or longer than estimated.

2.13: Vinci Hair Clinic reserves the right to cancel the procedure in the interest of patient safety in such cases where the patient is deemed to be under the influence of drugs or alcohol. In such an event, the non refundable deposit will be retained as a cancellation charge.

2.14: The non refundable deposit will be retained as a cancellation charge if it is deemed that the patient has failed to disclose known medical conditions or other possible contra-indications to treatment to Vinci Hair Clinic in advance of their procedure that subsequently result in the cancellation of their treatment in the interest of patient safety.

2.15: If a procedure is cancelled on the day on medical grounds, the clinic will advise of any measures the patient needs to take and will attempt to reschedule the procedure once. If the patient does not wish to reschedule and/or cannot reschedule for medical reasons, the clinic will retain full payment for the procedure as a cancellation charge.

2.16: The clinic will not be held liable in such cases where additional treatment has been carried out with alternative providers, including hair transplant, scalp pigmentation and medical treatments, or anything else that may have compromised the results.

Article 3.0: Payments

3.1:The patient will be quoted a fee during a personal consultation, by video or by photo analysis. Vinci Hair Clinic will complete the work for that fee. Quotes are valid for a period of 30 days unless otherwise stated.

3.2: A non refundable deposit of £1000 must be paid in advance to secure the patient´s chosen procedure date. The deposit sum can be paid by card, by cash in person or by bank transfer. Until such time as a deposit is placed, the patient's desired booking date will remain available for other patients to reserve. Deposits have a 3 month validity, failure to select a procedure date within that timeframe will result in the deposit sum being considered null and void.

3.3: The balance will be paid on the morning of the procedure if paying by card or cash. Bank transfers must be initiated in advance to ensure all funds have cleared by the chosen procedure date.

3.4: We accept: Visa and MasterCard, cash and bank transfers. Please note we do not accept checks, American Express or Laser cards. Card payments must be accompanied by photographic ID

3.5: If paying by card on your procedure day, please advise your bank of the payment in advance so that they are aware it is a genuine transaction. Payment must clear prior to the procedure commencing, so any issues with blocked transactions may result in the cancellation of your surgery and the retention of your deposit..

Article 4.0: Appointments and Cancellations

Should you cancel once the non refundable deposit has been placed or fail to arrive for your procedure, the non refundable deposit will be retained as a cancellation charge. Cancellations due to emergency or illness will be assessed on an individual basis and in such instances, we will always endeavour to be as flexible as possible in terms of rescheduling an alternative surgery date. Proof to substantiate the circumstances may be requested.

4.2: A non refundable deposit of £1000 will be charged to secure your booking. Should you request to move your treatment date or postpone your treatment once you have reserved a surgery date, the non refundable deposit will be retained as a cancellation charge. Date change or postponement requests due to emergency or illness will be assessed on an individual basis and in such instances, we will always endeavour to be as flexible as possible in terms of rescheduling an alternative surgery date. Proof to substantiate the circumstances may be requested.

4.3: Vinci Hair Clinic will endeavour to ensure that your procedure runs to schedule, however, for reasons beyond our control, we may need to cancel or postpone your procedure at short notice. In this unlikely event, every effort will be made to contact you in advance. We do not offer compensation if we cancel your procedure.

4.4: Vinci Hair Clinic reserves the right to amend booked surgery dates. Such changes are rare and are undertaken in the patient´s best interest and safety. In the unlikely event of a surgery date amendment, the deposit sum and other payments will be transferred to the next available date.

4.5: Vinci Hair Clinic will not be liable for costs arising from scheduling changes in the provision of our hair transplant services, including (but not exclusive to) travel costs, accommodation costs, any economic cost to the client relating to time taken off work or loss of potential earnings.

3.3: The balance will be paid on the morning of the procedure if paying by card or cash. Bank transfers must be initiated in advance to ensure all funds have cleared by the chosen procedure date.

3.4: We accept: Visa and MasterCard, cash and bank transfers. Please note we do not accept checks, American Express or Laser cards. Card payments must be accompanied by photographic ID

3.5: If paying by card on your procedure day, please advise your bank of the payment in advance so that they are aware it is a genuine transaction. Payment must clear prior to the procedure commencing, so any issues with blocked transactions may result in the cancellation of your surgery and the retention of your deposit..

Article 4.0: Appointments and Cancellations

4.1: A non refundable deposit of £1000 will be charged to secure your booking. Should you cancel once the non refundable deposit has been placed or fail to arrive for your procedure, the non refundable deposit will be retained as a cancellation charge. Cancellations due to emergency or illness will be assessed on an individual basis and in such instances, we will always endeavour to be as flexible as possible in terms of rescheduling an alternative surgery date. Proof to substantiate the circumstances may be requested.

Should you request to move your treatment date or postpone your treatment once you have reserved a surgery date, the non refundable deposit will be retained as a cancellation charge. Proof to substantiate the circumstances may be requested.

4.3: Vinci Hair Clinic will endeavour to ensure that your procedure runs to schedule, however, for reasons beyond our control, we may need to cancel or postpone your procedure at short notice. In this unlikely event, every effort will be made to contact you in advance. We do not offer compensation if we cancel your procedure.

4.4: Vinci Hair Clinic reserves the right to amend booked surgery dates. Such changes are rare and are undertaken in the patient´s best interest and safety. In the unlikely event of a surgery date amendment, the deposit sum and other payments will be transferred to the next available date.

4.5: Vinci Hair Clinic will not be liable for costs arising from scheduling changes in the provision of our hair transplant services, including (but not exclusive to) travel costs, accommodation costs, any economic cost to the client relating to time taken off work or loss of potential earnings.
